Start with evidence from wet and dry conditions
Drainage planning begins with observation. A dry yard can hide the direction of runoff, while a single photo of a puddle may hide the source. Watch the property during steady rain, a quick downpour, or spring melt when it is safe to do so. Note where water first appears, how long it remains, and whether the affected soil is merely damp or soft enough to rut underfoot. Repeat the review after the surface dries so settled areas and damaged turf are easier to see.
Take wide photos that show the house, lot edges, downspouts, walks, gates, and the full problem area. Add close photos for erosion, exposed roots, sediment, or a sharp change in elevation. A simple sketch with arrows is often more useful than a collection of disconnected images. The goal is not to diagnose a complex system from a phone; it is to give a landscaper enough context to decide what needs an on-site review.
- Mark downspout discharge points and any sump outlet visible at the surface.
- Record which low spots persist longest after the rest of the yard drains.
- Measure narrow access routes, gates, steps, and surfaces that equipment must cross.
- List recent construction, soil placement, fence work, or traffic that may have changed the grade.
Separate the source, path, low point, and outlet
Treating every wet area as the source leads to poor fixes. Water may begin at a roof, a higher part of the lot, a compacted construction zone, or runoff entering from another surface. It then follows a path shaped by slope and obstacles before collecting at the visible low point. Filling only that depression can push water toward a foundation, gate, walk, or another part of the yard without addressing the overall route.
A practical surface plan needs a destination as well as a slope. The available outlet depends on the property, surrounding elevations, existing drainage features, and applicable requirements. Do not assume that moving runoff to a lot line or public surface is acceptable. When the route is unclear, when the required change could affect adjoining property, or when plans and elevations control the work, additional technical or municipal guidance may be needed before landscaping proceeds.

Sod, decorative rock, mulch, and soil all add thickness. Edging, patios, fence gates, deck stairs, window wells, and walks also establish fixed transitions. If those relationships are not considered early, the new surface can end up too high at one edge, too low at another, or shaped like a shallow basin. A drainage-first plan establishes the intended elevations and then calculates the preparation depth required for the selected finish.
The visible material should support the water plan rather than conceal it. Rock can keep a surface cleaner and tolerate occasional flow, but it does not create drainage on its own. Sod can stabilize prepared soil, but turf laid over a low or compacted base may remain wet. Mulch works well in many beds, yet loose material can move where runoff is concentrated. Match the finish to how water is expected to cross or avoid the area.

The efficient order is usually investigation, removal, rough shaping, compaction or soil preparation as specified, edge construction, and then finish installation. Work from the least accessible zones toward the equipment exit when practical. This reduces traffic over fresh sod, completed beds, and prepared surfaces. It also lets the crew verify transitions while they remain visible instead of discovering a height conflict after material has covered them.
New-build yards require extra coordination. Builder work, fence installation, decks, utility activity, and neighbouring construction can change access or disturb grade. Clarify which exterior tasks are complete and which party is responsible for unresolved rough conditions. If heavy work will cross the yard again, it may be better to delay the final surface than to repair it immediately after installation.

A useful quote identifies the observed concern, the area included, the proposed surface changes, material responsibilities, access assumptions, finish, and exclusions. It should be clear whether the work is limited to landscape-surface grading or includes a specifically described drainage feature. Vague wording such as “fix the drainage” does not explain the intended route or define conditions outside the contractor's control.
Ask what information the plan depends on and what would require a revised scope. Buried utilities, unknown subsurface conditions, runoff beyond the reviewed area, or changes made by other trades can affect the result. For a straightforward surface project, good documentation keeps expectations aligned. For persistent foundation water, structural concerns, deep drainage, or work governed by engineered plans, start with the appropriate specialist rather than expecting a landscape finish to solve it.
